Our commitment
AI helps us prepare and improve our work. It never replaces the empathy, judgement and lived experience of our volunteer coaches.
Our approach to Artificial Intelligence (AI)
At Project Placed, trust matters.
Artificial intelligence (AI) can help our volunteers prepare resources, improve administrative efficiency and spend more time supporting job seekers. Used well, AI can make us more effective. Used poorly, it can undermine privacy, confidence and trust.
That is why Project Placed is committed to using AI safely, responsibly and ethically.
How we use AI
We currently use AI in limited and carefully controlled ways to support our work. This may include:
- drafting or improving internal documents, policies and communications;
- preparing coaching resources and administrative materials;
- assisting volunteers with routine administrative tasks; and
- improving organisational efficiency.
AI is used to support our volunteers, not replace them.
What we will never use AI for
Project Placed will not use AI to:
- determine a client’s safety, wellbeing or safeguarding needs;
- replace the professional judgement of our volunteer coaches;
- make significant decisions about individuals without human involvement; or
- enter client information into unapproved public AI tools.
Every important decision affecting a client is made by a person.
Protecting your privacy
Protecting personal information is one of our highest priorities.
Project Placed only permits AI to be used within approved organisational environments that provide enhanced privacy and security controls. Volunteers are prohibited from entering identifiable client information into public or unapproved AI systems.
Our use of AI is governed by our Privacy Policy, Responsible Use of Artificial Intelligence Policy and other organisational policies.
Being transparent
If AI materially assists in preparing information or resources provided to a client, we believe it is appropriate to be open about that use.
Where AI is proposed to be used during a coaching session, for example for transcription or note-taking, everyone participating must agree beforehand.
Human oversight
People remain responsible for every decision.
All AI-generated content is reviewed by a suitably qualified volunteer before it is shared with clients or the public. AI may provide assistance, but responsibility always remains with the individual using it.
Governance
The Board of Project Placed oversees the organisation’s use of AI as part of its governance and risk management responsibilities.
Our Responsible Use of Artificial Intelligence Policy is reviewed at least annually, or sooner if there are significant changes to technology, legislation or organisational practice.
